Who we are
ShortlistedSEO helps UK tradespeople get found and recommended online. It is a trading name of Livelihood Ventures Ltd ("we", "us"), a company registered in England and Wales (company number 17496152), whose registered office is at 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ. We are the data controller for the personal data described here.
Questions about this policy or your data: hello@shortlistedseo.co.uk.
The short version
- We only collect what we need to run your check, send your report and work with you.
- We never send your name, email or phone number to the AI tools. They only see your trade and town.
- We don't sell your data, and we don't use advertising or analytics cookies.
What we collect
If you run a free AI visibility check: your name, email address, phone number (if you give it), business name, trade, town and website (if you give it), and the report the check produces. We also keep a scrambled (hashed) version of your IP address, which we can't turn back into the address, to limit how many free checks one person can run.
If you send us your details through the contact form: your name, phone number and/or email address, your business or trade if you give it, how you’d like us to reply, your message, and a scrambled (hashed) version of your IP address to limit spam.
If you become a client: your business details, the profiles and listings we manage for you, our messages with you, and billing records.
If you visit this website: our hosting provider keeps short-lived technical logs (such as IP address and browser type) for security. We don't set tracking cookies. We count page visits with Vercel Web Analytics, which doesn't use cookies and doesn't identify you.
Why we use it, and our legal basis
- To run your check and email you the report, because you asked us to. Basis: legitimate interests (providing what you requested).
- To get in touch once about your report, by email or phone, to talk it through. Basis: legitimate interests. We won't add you to a mailing list. Tell us and we won't contact you again.
- To reply to your enquiry, because you asked us to. Basis: legitimate interests.
- To provide our service to clients and take payment. Basis: our contract with you, and legal obligations such as HMRC record-keeping.
- To prevent misuse of the free check. Basis: legitimate interests.
Who we share it with
We use a small number of providers who process data only on our instructions:
- Vercel: website hosting.
- Supabase: database hosting.
- Resend: sending emails.
- OpenAI (ChatGPT), Google (Gemini) and Perplexity: to answer the check's questions. They receive only the questions, which contain your trade and town, and the answers they give. They never receive your name, contact details or business name.
- Stripe: payments, if you become a client.
We may also disclose information if the law requires it. We never sell personal data.
International transfers
Some of these providers process data outside the UK, including in the United States. When they do, we rely on UK adequacy regulations (including the UK Extension to the EU–US Data Privacy Framework where the provider is certified) or the ICO's International Data Transfer Agreement or Addendum.
How long we keep it
- Free check details and reports: 24 months, then deleted, unless you become a client. Ask and we'll delete them sooner.
- Contact-form enquiries: 24 months, then deleted, unless you become a client. Ask and we’ll delete them sooner.
- Client records: while you're a client, and up to 12 months after, so we can answer questions about the work.
- Billing records: six years, as UK tax law requires.
Anyone with the link to a report can view it. Reports show your business name, trade and town, and the AI answers, never your contact details. Ask us and we'll delete a report.
Your rights
Under UK data protection law you can ask for a copy of your data, ask us to correct or delete it, object to how we use it, or ask us to restrict using it. Email hello@shortlistedseo.co.uk. We'll reply within one month.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk, though we'd appreciate the chance to put things right first.
